Terms of Service
Last updated 23 October 2026
These Terms of Service govern the use of ZenQueue, the queue management service offered at zen-queue.com and through the ZenQueue admin app. By creating an account or using the service, you accept these Terms on behalf of the business you represent.
1. Who we are
ZenQueue is provided by:
- Name: [CONTROLLER NAME]
- Address: [CONTROLLER ADDRESS]
- Registration number: [REGISTRATION NUMBER]
- VAT ID: [VAT ID]
In these Terms, “we” and “us” mean the provider above, and “you” means the business that uses the service, including the people it invites to its account.
2. The service
ZenQueue lets a business run a digital queue for its customers: customers join a queue, staff call and serve them, and the business manages its locations, employees and settings in the admin app. The features available to you depend on your plan, as described on the pricing page.
3. Business use only
The service is for businesses and professionals, not for consumers. The person who creates the account confirms that they are authorised to accept these Terms for the business.
4. Your account
You are responsible for the people you invite to your account, for keeping sign-in details secure and for all activity under your account. Tell us without delay at [email protected] if you believe your account has been compromised.
5. Free trial, plans and payment
- Your first subscription starts with a 30-day free trial. A payment method is required at the start of the trial. If you do not cancel before the trial ends, the subscription starts and the first payment is charged.
- Plans are billed monthly or annually in advance, at the prices shown on the pricing page when you subscribe. If VAT applies, it is shown at checkout.
- Payments are processed by Stripe. If a payment fails, we may limit or suspend the service until it is settled.
- We may change prices for future billing periods. We tell you by email at least 30 days before a change takes effect, and you can cancel before then.
6. Cancellation
You can cancel at any time from the billing settings in the admin app. Cancellation takes effect at the end of the current billing period, and the service stays available until then. Fees already paid are not refunded, except where the law requires it.
Deleting your business account ends access for all its users immediately; the subscription is cancelled at the end of the current billing period and is not refunded. A Grand Administrator can restore the business within 30 days by logging in to the ZenQueue admin app and choosing “Restore business”, which keeps the subscription if that period has not ended.
7. Acceptable use
You must not use the service to break the law, to infringe the rights of others, to send spam, to upload malicious code, to try to gain unauthorised access to the service or other accounts, or to place an unreasonable load on the service. We may suspend an account that breaks these rules.
8. Your data and data processing
You keep all rights to the data you and your customers enter into the service. For your employees’ work data in the service (their roles, the locations they work at and the schedules you set) and for the personal data of the customers who join your queues, you are the controller and we act as your processor. We are the controller of the login and account data of every admin app user, including your employees, as described in our Privacy Policy. This section is the data processing agreement under Art. 28 GDPR between you and us for the data you control:
- We process that personal data only on your documented instructions, which are these Terms and your use of the service, unless the law requires otherwise.
- Everyone at our side who can access it is bound to confidentiality.
- We protect it with appropriate technical and organisational measures, including encryption in transit and access limited to the people who need it.
- We use the sub-processors listed in our Privacy Policy. You authorise their use, and we tell you before we add or replace one, so that you can object.
- We help you answer requests from data subjects and meet your duties on security, breach notification and data protection impact assessments, as far as the service allows.
- We tell you without undue delay after we become aware of a personal data breach that affects your data.
- When your account ends, we delete or return the data at your choice, unless the law requires us to keep it.
- We give you the information needed to show that we meet these duties and allow audits by you or an auditor you appoint, with reasonable notice and at your cost.
How we handle personal data as a controller ourselves is described in our Privacy Policy.
9. Availability and changes to the service
We work to keep the service available and secure, but we do not guarantee that it will be uninterrupted or free of errors. We may change or improve features. If we remove a feature that is essential to your plan, we tell you in advance.
10. Intellectual property
We own the service, its software and its content. During your subscription we give you a non-exclusive, non-transferable right to use the service for your business. You give us the rights we need to host and process your data to provide the service.
11. Liability
- We are liable without limitation for damage caused intentionally or by gross negligence, for injury to life, body or health, and where the law does not allow liability to be limited.
- Otherwise, our total liability for all claims in any 12-month period is limited to the fees you paid us for the service in the 12 months before the event that caused the claim.
- We are not liable for indirect or consequential loss, lost profits or lost data that regular backups on your side would have prevented, except in the cases of the first point.
12. Suspension and termination
You can end the contract by cancelling your subscription as described in section 6. We may end the contract with 30 days’ notice by email, or immediately if you seriously break these Terms. On termination your access ends, and your data is handled as described in section 8 and the Privacy Policy.
13. Changes to these Terms
We may update these Terms. We tell you by email at least 30 days before a change that affects you takes effect. If you do not agree, you can cancel before the change applies; continuing to use the service after that date means you accept the new Terms.
14. Governing law and courts
These Terms are governed by the laws of [GOVERNING LAW COUNTRY], excluding the UN Convention on Contracts for the International Sale of Goods. The courts of [GOVERNING LAW COUNTRY] have exclusive jurisdiction for any dispute, to the extent the law allows.
15. Contact
Questions about these Terms can be sent to [email protected] or to the address in section 1.
